1. Information we collect
Depending on how you use the Services, we may collect the following categories of information:
- Account and profile information: name, email address, telephone number, profile photo, agent code number, contract level, licensed states, team, hierarchy, and upline information.
- Client and financial-planning information: household and contact information, goals, income, expenses, debts, assets, insurance information, retirement information, notes, documents, and Financial Needs Analysis responses entered by an agent or client.
- Business activity information: recruit, prospect, licensing, production, promotion, appointment, Match-Up Book, training, calendar, annual-review, referral, and communication records.
- Files and images: profile photos, leadership spotlight photos, team logos, and resource files that authorized users upload.
- Authentication and technical information: account identifiers, session and security information, device and browser information, IP address, timestamps, and diagnostic information needed to operate, secure, and troubleshoot the Services.
- Communications: email recipient, subject, message content, delivery status, and related records when a user sends or records a communication through Mako360.
2. Google user data and Gmail access
Mako360 allows a registered agent to connect the same Google account email address used for their Mako360 account. An authorized administrator may also connect a separate, administrator-controlled system Gmail account for BPM guest emails and Match-Up Book notifications. When Gmail is connected, Mako360 requests the verified Google email address and permission to send email through Gmail using the gmail.send scope.
Mako360 does not request permission to read, search, modify, or delete Gmail messages or mailbox contents.
We use Google user data only to:
- confirm an individual agent mailbox belongs to the Mako360 user, or that the system mailbox is connected by an authorized administrator;
- send emails that the user composes, approves, or initiates through Mako360; and
- maintain and secure the Gmail connection.
OAuth access and refresh tokens are encrypted before storage. We do not sell Google user data, use it for advertising, or transfer it to data brokers. We do not permit humans to read Google user data except when the user gives affirmative permission for support, when necessary to investigate abuse or a security incident, or when required by law.
Mako360’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
3. How we use information
We use information to:
- provide, personalize, maintain, and improve the Services;
- authenticate users and administer accounts, plans, roles, and access permissions;
- support financial-needs analyses, client management, recruiting, licensing, production, training, and hierarchy workflows;
- send user-directed communications, operational notices, reminders, and account-related messages;
- protect the Services, users, and client information from fraud, misuse, and security threats;
- provide customer support and troubleshoot technical issues; and
- comply with applicable law and enforce our Terms of Service.
4. How we share information
We may share information only as reasonably necessary with:
- Authorized Mako360 users: such as the assigned agent, an authorized trainer, administrator, or an upline leader when the platform’s hierarchy and oversight features provide that access.
- Service providers: vendors that provide hosting, authentication, storage, email delivery, security, maintenance, or other services on our behalf and are permitted to process information only for those purposes.
- Legal and safety recipients: when required by law or reasonably necessary to protect rights, safety, security, and the integrity of the Services.
- Business-transfer recipients: in connection with a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate confidentiality protections.
We do not sell personal information or Google user data.
5. Data security and retention
We use administrative, technical, and organizational safeguards designed to protect information. These include access controls and encryption of stored Google OAuth credentials. No online system can guarantee absolute security, and users are responsible for protecting their account credentials.
We retain information for as long as reasonably necessary to provide the Services, maintain business and compliance records, resolve disputes, enforce agreements, and meet legal obligations. Retention periods vary based on the type of information and why it was collected.
6. Your choices and rights
- You may review or update available profile information from your Mako360 account.
- You may disconnect Gmail from Mako360 at any time. Disconnecting removes the stored Gmail connection from Mako360 and stops future Gmail sending through that connection.
- You may also revoke Mako360’s access from your Google Account’s third-party connections settings.
- You may request access to, correction of, or deletion of personal information by contacting us. We may need to verify your identity and may retain information where legally required.
7. Client and third-party information
Agents and other users who enter information about clients, prospects, recruits, trainees, or other people are responsible for having appropriate authorization to collect, use, and submit that information. Users must follow applicable privacy, licensing, company, and compliance requirements.
8. Children’s privacy
Mako360 is a professional business platform and is not directed to children under 13. We do not knowingly collect personal information directly from children under 13. Household information about a client’s dependents may be entered by an authorized adult for financial-planning purposes.
9. Changes to this policy
We may update this Privacy Policy as the Services or legal requirements change. We will post the revised policy on this page and update the effective date. Material changes may also be communicated through the Services or by email.
